Welcome to AussieAdventures ("we," "us," or "our"). These Terms & Conditions govern your use of our website and the booking of our travel services. By accessing our website or making a booking, you agree to be bound by these terms.
AussieAdventures is a registered travel company in Australia (ABN: 12 345 678 901) specializing in curated tour experiences throughout Australia. We are ATAS accredited (A12345), demonstrating our commitment to industry standards and consumer protection.
Please read these terms carefully before making a booking. If you do not agree with any part of these terms, you should not use our services or make a booking.
2. Booking & Reservations
2.1 Booking Process
To make a booking, you must complete the booking form on our website or make a booking via telephone with one of our travel consultants. A booking is only confirmed when you receive a written confirmation email from us along with your booking reference number.
2.2 Booking Accuracy
You are responsible for ensuring that all details in your booking application are accurate, including your name, contact details, travel dates, and passenger information. Any errors may result in additional charges or cancellation of your booking.
2.3 Minimum Numbers
Some tours require a minimum number of participants to operate. If a tour does not reach the minimum number, we reserve the right to cancel or reschedule the tour. In such cases, you will be offered an alternative tour or a full refund.
2.4 Special Requests
We will use reasonable efforts to accommodate special requests such as dietary requirements, accessibility needs, or room preferences. However, such requests cannot be guaranteed and may incur additional charges.
3. Payment Terms
3.1 Deposit Requirements
To secure your booking, a non-refundable deposit is required at the time of booking:
- Standard Tours: $200 per person deposit
- Luxury Tours: $500 per person deposit
- Custom Itineraries: 25% of total booking value
3.2 Final Payment
Final payment is due 60 days before your tour departure date. For bookings made within 60 days of departure, full payment is required at the time of booking.
3.3 Payment Methods
We accept the following payment methods:
- Credit/Debit Cards (Visa, Mastercard, American Express)
- Bank Transfer
- PayPal
- Cash (in AUD at our Sydney office)
3.4 Currency & Prices
All prices are quoted in Australian Dollars (AUD) and include Australian Goods and Services Tax (GST). Prices are subject to change until full payment is received. If prices increase after booking, you will not be affected provided you have paid in full.
3.5 Price Inclusions & Exclusions
Tour prices include the services specified in the tour description. Standard inclusions are accommodation, meals as specified, guided tours, and transport as per itinerary. Exclusions typically include international flights, travel insurance, personal expenses, and optional activities.
4. Cancellation Policy
4.1 Cancellations by You
Cancellation fees apply based on when we receive your written cancellation notice:

4.2 Cancellation by Us
We reserve the right to cancel any tour for any reason. If we cancel a tour due to insufficient numbers, force majeure, or other circumstances beyond our control, you will receive a full refund of monies paid. We are not liable for any additional costs you may incur such as flights or insurance.
4.3 Refund Processing
Refunds are processed within 14 business days of cancellation confirmation. Original payment method will be used for refunds where possible. Bank charges or currency conversion fees may be deducted from refunds for international payments.
5. Changes to Bookings
5.1 Date Changes
Date changes are subject to availability and may incur admin fees of $50 per person plus any price differences. Changes must be requested in writing at least 30 days before the original departure date.
5.2 Name Corrections
Name corrections for bookings (e.g., spelling mistakes) are subject to a $25 admin fee per booking. Name changes transferring bookings to another person are treated as cancellations and new bookings.
5.3 Itinerary Changes
We reserve the right to modify tour itineraries due to weather conditions, venue closures, or other operational requirements. We will endeavor to provide comparable alternative arrangements. Significant changes will be communicated as soon as possible.
6. Travel Documents
6.1 Passport Requirements
All travelers must hold a valid passport with at least 6 months validity beyond their intended departure date from Australia. It is your responsibility to ensure all passengers meet passport and visa requirements.
6.2 Visa Requirements
Visitors to Australia require a valid visa. Electronic Travel Authority (ETA) or Visitor visas are required for most nationalities. We recommend checking with the Australian Department of Home Affairs or your nearest Australian embassy for current requirements.
6.3 Documentation Delivery
Travel documents (e-vouchers, itinerary confirmations) will be sent electronically to the email address provided. Please check all documents upon receipt and notify us immediately of any discrepancies.
7. Travel Insurance
Comprehensive travel insurance is strongly recommended for all our tours. We require proof of travel insurance for adventure activities and certain remote area tours.
Your travel insurance should cover:
- Cancellation and curtailment
- Medical expenses and emergency evacuation
- Baggage and personal belongings
- Travel delays and missed connections
- Personal liability
We can provide quotes for comprehensive travel insurance through our partner providers if you do not already have coverage.
8. Health & Fitness Requirements
8.1 General Health
All tour participants must be in good general health. Some tours involve physical activities such as walking, hiking, swimming, or snorkeling. Please advise us of any medical conditions or mobility requirements at the time of booking.
8.2 Fitness Level
Each tour listing specifies the required fitness level. "Moderate" fitness typically means able to walk 3-4km on uneven terrain. "Active" tours involve more strenuous activities. If you have concerns about fitness requirements, please contact us for guidance.
8.3 Medical Conditions
You must notify us of any medical conditions, allergies, or dietary requirements at booking. We will work with accommodation and restaurant partners to accommodate needs where possible. Certain conditions may require medical clearance.
8.4 Remote Areas
Some tours visit remote areas with limited access to medical facilities. Participants accept these inherent risks and agree to follow guide instructions at all times.
9. Liability & Responsibility
9.1 Our Responsibility
We accept responsibility for ensuring that all tour services are provided with reasonable care and skill. Our liability is limited to the value of the tour price paid.
9.2 Third Party Services
We act as an agent for hotels, transport providers, and other service suppliers. While we carefully select reputable suppliers, we cannot be held liable for their acts or omissions. Your contract for such services is directly with the third-party provider.
9.3 Your Responsibility
You are responsible for:
- Complying with all local laws and regulations
- Following guide instructions and safety briefings
- Respecting local customs and environment
- Ensuring your behavior does not endanger others
9.4 Photography & Media
We may take photographs or video during tours for promotional purposes. If you do not wish to be included, please advise your guide at the start of the tour.
10. Force Majeure
We accept no liability for delays, cancellations, or additional costs arising from circumstances beyond our reasonable control, including but not limited to:
- Natural disasters (bushfires, floods, cyclones)
- Weather conditions affecting travel
- Acts of terrorism or civil unrest
- Government actions or border closures
- Epidemics or pandemics
- Industrial disputes
In force majeure situations, we will provide alternative arrangements where possible. Additional costs incurred are the responsibility of the traveler.
11. Complaints Procedure
If you have a complaint during your tour, you must notify your tour guide immediately so they can attempt to resolve the issue. Most problems can be resolved quickly on the spot.
For complaints that cannot be resolved during the tour, you must submit a formal complaint in writing within 30 days of your tour completion. We will acknowledge receipt within 3 business days and provide a full response within 14 days.
If your complaint is not resolved to your satisfaction, you may be eligible to lodge a complaint with the Australian Consumer Commission or through our ATAS accreditation dispute resolution process.
12. Intellectual Property
All content on this website, including text, images, logos, and website design, is protected by copyright and other intellectual property laws. You may not reproduce, distribute, or use our content without written permission.
Tour itineraries, maps, and route information are proprietary to AussieAdventures and may not be copied or reproduced for commercial purposes.
13. Privacy & Data Protection
We collect and use your personal information in accordance with our Privacy Policy and Australian Privacy Principles. Your information is used to process bookings, communicate with you, and improve our services.
We do not sell your personal information to third parties. Your data is stored securely and accessed only by authorized personnel.
By using our website and making a booking, you consent to our collection and use of your information as described in our Privacy Policy.
14. Governing Law
These Terms & Conditions are governed by the laws of New South Wales, Australia. Any disputes arising from these terms or your tour booking will be subject to the exclusive jurisdiction of the courts of New South Wales.
